Program Coordinator, C.A.F.E Practices

Job Overview
The Coordinator for the C.A.F.E. Practices Program, under the Responsible Sourcing Strategies department in the Food & Agriculture Division, works on a diversity of projects. The primary responsibilities of the Coordinator include managing administrative tasks related to communications, planning and scheduling audits, managing application processing, scheduling trainings, and more. The Coordinator is also responsible for documentation of all the aforementioned activities on an ongoing basis in various platforms. This is a highly collaborative, fast-paced role, that requires very strong time-management and organizational skills, attention to detail, ability to prioritize work and meet deadlines, and excellent writing, communication, and customer service skills. This role will best suit an individual who appreciates and can adapt to a wide variety of tasks. This position reports to the Program Manager and works closely with the Program Associates and other Coordinators.

Essential Duties and Responsibilities

Communications

  • Manage daily email and telephone communications in English and Spanish with:
  • Auditors based in Central and South America
  • Partners based in Central and South America
  • SCS program personnel and contractors based in Central and South America

Audit Coordination

  • Ensure consistent flow of audit projects
  • Prepare audit plans and related audit documents and forms
  • Track and manage audit project milestones and deadlines
  • Prepare work orders and invoices for clients
  • Manage auditor schedules, workloads and travel budgets
  • Plan audits and trip itineraries for staff and auditors
  • Carry out travel booking and logistical arrangements, as needed
  • Review expense reports for staff and regional auditors

Operations

  • Ensure program compliance with, and support the continuous improvement of internal quality systems
  • Maintain new, existing, and archived program files in accordance with program requirements
  • Support in updating program materials as needed
  • Review invoices and time log entries for accuracy
  • Support in planning trainings and manage training-related communications and administration of information
  • Manage administration of personnel approval
  • Additional tasks as requested by the Director and Managers

Minimum Qualifications

  • Must have professional fluency in English
  • Bachelor’s Degree or 5+ years of experience in a related field (Administration, Communications, Sustainability, etc.)
  • Excellent writing, communication, and customer service skills
  • 1+ years experience in project management or administration
  • Initiative and ability to work independently; responsive and adaptive personality
  • Strong time-management and organizational skills, attention to detail, ability to prioritize work and meet deadlines
  • Experience with Microsoft Office including Microsoft Word, Excel, Outlook, and PowerPoint

Preferred Qualifications

  • Professional fluency in Spanish and Portuguese
  • Experience with third-party certifications, ISO 9001 accreditation, or similar
  • Experience with database management systems
  • Understanding of auditing and third-party certification initiatives

Working Remotely

SCS is recruiting all open roles to be remote; allowing our employees the ability to work flexibly and allowing SCS as a company to diversify the experience and perspectives of our growing workforce. This is a home-office based role and may include travel with local, domestic, and/or international trips. Details will be clarified during the recruitment process.

Estimated Hourly Range

$24.00-$27.40
