Coordinator, People Operations

Job Overview
The Coordinator, People Operations plays a pivotal role in supporting the management of various HR functions. The role involves coordinating and overseeing People Operations activities to ensure efficient operations and compliance with company policies and regulations. The responsibilities typically include assisting with employee onboarding and offboarding, maintaining employee records and documentation, administering benefits programs, and supporting HR-related projects and initiatives.

Essential Duties and Responsibilities
Employee Records Management

  • Assist with ensuring and maintaining accurate employee records that are complete, up-to-date, and compliant with legal and company requirements
  • Participate in HR Team meetings to collaborate, learn new processes, and exchange relevant information
  • Maintain highly sensitive and confidential employee data
  • Support People Operations team in educating employees on company policies and ensuring compliance
  • Assist with processing internal record changes and ensuring accurate record keeping
  • Process monthly billings from insurance providers; review billing for accuracy, codes, and advances for payment; resolve discrepancies with carriers and Payroll
  • Foster positive employee relations
  • Abide by company-enforced HR processes and current employment laws and regulations
  • Assist with all internal and external HR-related inquiries and/or requests
  • Facilitate all incoming service requests to ensure timely and quality services
  • Keep up-to-date with the latest HR trends and best practice

Benefits Administration

  • Assist in conducting benefits orientation sessions for new employees and provide ongoing support and guidance to employees regarding their benefits coverage and options
  • Assist employees regarding benefits-related inquiries, including plan coverage, eligibility, and enrollment processes
  • Assist in the development and administration of the company’s benefits survey, gathering employee feedback on current offerings and identifying areas for improvement
  • Provide timely and accurate responses to employee questions and concerns, demonstrating a strong understanding of benefits plans and policies
  • Assist employees with benefits enrollment processes, including guiding them through online enrollment platforms, explaining plan options, and ensuring completion of required documentation
  • Stay informed about changes to benefit plans, policies, and regulations
  • Review and reconcile benefits invoices from insurance carriers and vendors, verifying accuracy of charges and resolving discrepancies as needed
  • Collaborate with Payroll to ensure accurate benefits entry and reporting changes in ADP
  • Liaise with benefits vendors to ensure the effective delivery of benefits programs and services
  • Advocate employee health and well-being by supporting initiatives and activities that promote a culture of wellness within the organization
  • Assist with managing audits and any compliance matters pertaining to benefits
  • Support with mail coordination, including confidential HR documents and benefits related materials

Offboarding

  • Assist with the coordination of the offboarding process for departing employees, ensuring all necessary steps are completed in a timely manner
  • Assist in communication with relevant departments (e.g. IT, facilities, Payroll, QA, etc.) to deactivate access, collect company assets, and arrange for the return of equipment
  • Continuously assist with evaluation and refinement of the offboarding process to streamline procedures, enhance the employee experience, and maximize the effectiveness of feedback collection
  • Collaborate with HR team members and cross-functional partners to implement best practices and innovative solutions for offboarding

Minimum Qualifications

  • 1+ years of experience in human resources field or
  • Equivalent combination of education and relevant work experience
  • Proficient with Microsoft Office including Word, Excel, Outlook, and PowerPoint
  • Initiative, good judgment, and ability to work under pressure in a changing environment
  • Strong organizational, time management, and project management skills with a proven ability to successfully meet deadlines and manage competing priorities
  • Self-motivated with superior attention to detail and focus on accuracy
  • Ability and desire to work effectively with cross-functional teams, both internally and externally
  • Strong interpersonal and communication skills with the ability to effectively engage with employees at all levels of the organization
  • Excellent problem-solving skills with the ability to address technical issues and provide effective user support
  • Excellent communication skills both written and verbal
  • Ability to act with integrity, professionalism, and confidentiality

Preferred Qualifications

  • Bachelor's Degree in Human Resources Management, Business Administration, or a related field
  • Familiar with HR technology (e.g. ADP Workforce Now, Workday, Sequoia, Tilt, ClearCompany, Deel)
  • Knowledge of international employment law
  • Knowledge of state and federal employment law and experience working with private sector companies
  • PHR or SHRM-CP
  • Certified Benefits Professional (CPB)

Working Remotely
SCS is recruiting all open roles to be remote; allowing our employees the ability to work flexibly and allowing SCS as a company to diversify the experience and perspectives of our growing workforce. This is a home-office based role and may include travel with local, domestic, and/or international trips. Details will be clarified during the recruitment process.

Estimated Hourly Salary
$17.00 - $25.00
